Could this be the scene for your next career move? We are currently recruiting for Operations Coordinator to join our Operations team.

What you will be doing


The Operations Coordinator role is responsible for efficiently managing interactions with suppliers and customers, meticulously maintaining records, and ensuring that operations run smoothly while adhering to safety regulations. The role is pivotal in resolving issues and facilitating effective communication among STC, our suppliers, and our customers. As part of your responsibilities, you will also assist the Operations Team Leads with various projects as they arise and maintain clear and precise communication with local operational teams. Furthermore, you are expected to fully embrace and uphold STC's policies, mission, and vision, actively contributing to the success of the group.


 


Key Responsibilities



  • Order Management – Process customer bookings received via various channels (Web, EDI, API & Email), ensuring timely and correct handling of the booking - ensuring KPI’s are met. This includes selecting the optimal ocean carrier (based on cost, speed or sustainability), and communicating vessel/voyage information with the customer.

  • Export Documentation – Punctual and precise handling of shipping instructions in alignment with STC’s quality procedures. Coordinate the accurate processing and distribution of shipping instructions and ensure that any documentation related to additional charges, such as manifest corrections, are advised timely to customers. Follow up with ocean carriers regarding amendments and ensure timely receipt of Bill of Lading. Ensure the system contains all necessary updates and relevant information to successfully ship the container

  • Import Documentation – Monitor & control the end-to-end process for imports. This includes verifying estimated arrival information, sending documentation to the customer, and create/distribute release instructions to the ocean carriers and terminals. 

  • Invoicing – Ensure STC’s billing procedures are executed with precision and efficiency.  Issue invoices for additional charges to customer in accordance with STC’s additional charge tariff and/or per customer specific billing requirements.

  • Compliance & Safety – Register events/non-conformities when suppliers fail to meet STC’s and/or customers’ expectations for quality of service. Contribute to the identification of root cause, corrective, and preventive action where necessary. Uphold compliance with industry regulations and safety standards, ensuring all operations are conducted in a safe and responsible manner.

  • Minor Issue resolution – Identify solutions to minimize disruptions in the logistic process such as delays, route changes, incidents. Identify opportunities for process improvements, cost savings and operational efficiencies, driving continuous improvement initiatives within STC’s operations.


 


Qualifications



  • Preferred to have a bachelor's degree or 1 year of experience working in a logistics/shipping company in a similar role. Must have experience working in an international environment.

  • Must have a proven record of excellent work quality and accuracy. 

  • Fluent in English and preferably 1 regional language. Strong communication and interpersonal skills with the ability to effectively convey information to suppliers, customers, and internal teams.

  • Ability to work effectively as part of a team. Meticulous in maintaining accurate documentation with a keen eye for identifying errors and discrepancies.

  • Ability to actively engage in problem resolution with a capacity to think critically and propose solutions. 

  • Desire to continuously acquire new knowledge and skills relevant to the role, with a growth mindset and a commitment to personal development
