Job Description

The base salary range for this position is $24.50 - $26.50 hourly.

Our group coordinator works with our sales and events team, along with reservations and revenue management to ensure we exceed the expectations of our group attendees and planners. This position is responsible for the accurate and detailed entry of rooming lists, reporting, billing, amenity coordination, and communicating with various departments. The position is required to cultivate and maintain effective relationships with all associates throughout the Auberge Resorts Collection.

  • Ensure all definite contract details are accurately displayed in Delphi and in Opera.
  • Perform weekly Group Audit.
  • Enter rooming lists accurately, with detailed notes, credits, special requests and correct billing setup.
  • Ensure correct setup for all VIP reservations.
  • Create IPO reservations that come via email requests and email manual confirmations.
  • Send Canary to IPO guests.
  • Ensure communication between the reservations team and call-in group guests to ensure accuracy.
  • Assist with reservation extensions, extension requests, and additional room requests.
  • Send updated rooming list, Pickup, and Block info report with each change/request
  • Assist with releasing rooms if group exercises attrition
  • Alert Sales Managers if an addendum is needed - Addendum is necessary when revenue guaranteed to the Master Account increases by $5,000.00.
  • Facilitate weekly pickup meeting with the revenue management team maximizing hotel room revenue and occupancy numbers
  • Attend Resume Meetings.
  • Keep current with all communication and hotel information.
  • Ensure appropriate guest/group contact follow-up takes place in a timely and proper fashion, in accordance with thestandard operating procedures.
  • Participate in department meetings as scheduled.
  • Must be willing to work a flexible schedule, and be available to work evenings, weekends and holidays.
  • Must be a cultural ambassador and participate positively in a sales team environment.
  • All other duties as assigned.

Qualifications

Education:

  • Any combination of education and experience that provides the required knowledge, skills and ability. 

Experience:

  • Two (2) years of sales and customer service experience.
  • 1 year min Opera PMS Experience.
  • Group Rooms Coordinator experience preferred.
  • Previous hospitality experience required in similar setting.
  • Must be able to type 35 wpm.
